Winter Administrative Recess 2020-21

Section 1

November 4, 2020

Dear colleagues:

2020 has been a difficult year, to say the least. Some of you – our frontline staff – have been on-site since the COVID pandemic began, ensuring ongoing university operations and the welfare of our students and colleagues. Others have converted to remote work under challenging conditions. Not only have you all been employees, but you have been teachers, care givers, and pillars of support in your personal lives. Leadership is grateful to all of you for your hard work and dedication, and your health and wellbeing remains our top priority.

This year we are extending the winter administrative recess period by three additional days. Winter administrative recess will now be from Monday, December 21, through Friday, January 1, inclusive. The last working day of 2020 will be Friday, December 18. The first working day of 2021 will be Monday, January 4.

Only essential on-campus services, as determined by the appropriate director, dean or vice chancellor, and UCI Health, will remain open. Faculty and Academic Student Employees required to complete fall quarter instructional requirements, including final grade submission, are exempt from the additional three days of curtailment for December 21, 22, and 23. Thank you in advance to those of you who will be working over the recess.

Six days within this period – December 21, 22, 23, 28, 29 and 30 will not be paid holidays. All staff and academic employees who earn vacation, with the exception of those deemed essential per above or by special approval from your department head, must take these days off. The winter administrative recess applies to all employees, including employees working remotely.

To cover these six days, you can elect one of the following options:

  1. Use paid vacation time. For this period only, vacation may be used in advance of accrual.
  2. Use compensatory time off, if available, with approval of your supervisor and in accordance with applicable policies and labor agreements.
  3. Take up to six days as leave of absence without pay.
  4. Any combination of the above.

Employees in limited appointments and those who work part-time receive holiday pay and accrue sick leave and vacation time pursuant to the terms of applicable personnel policies and collective bargaining agreements.

This UCI extended winter administrative recess is separate from any decision from UC Office of the President (UCOP) regarding possible FY20/21 curtailment. You will be notified as soon as possible of any UCOP decision and how it will affect you.

Best,
